Program Coordinator - South Hadley

The Town of South Hadley seeks a friendly, positive individual to join the Council on Aging’s team as a full-time Program Coordinator. The position is responsible for administrative, programming, and instructional work related to Human Service activities within the Senior Center. Planning, organizing, and setting up for daily activities, programs, and special events are key responsibilities of this position.

Essential Functions:

Plans daily and monthly activities, programs, and special events at the Senior Center to include purchasing supplies, booking entertainment, creating invitations, planning outings, and coordinating transportation, outreach programs with neighboring housing communities and making phone calls and internet searches for instructors. Collaboration with schools and other town organizations for events/programs.


Researches and recruits new vendors and instructors to support programs at the Senior Center. Coordinates program implementation with vendors, co-workers, and instructors to ensure success.


Organizes, implements, and follows through on quarterly community programming including annual Health Fairs, Lifelong Learning program with Mt Holyoke College, Falls Prevention program with the local Fire Districts, Nursing program with UMass, Veterans and Memorial Day events, and Recreational programs.


Establishes ongoing programming to benefit the community and deepen engagement of older adults and others in the community.


Sets up for daily programs, Zoom and special events at the Senior Center.


Enters programs into My Senior Center program so members can register for events.


Assists in dining room as nutrition coordinator. Coordinates meals/refreshments for special programs collaborating with high school culinary program Loomis Village or outside vendors


Media: creates flyers, develops newsletter write-ups, assists in editing newsletter. Takes photos and posts on Facebook. Coordinates with SHCTV for livestreaming/recording events.


Responsible for procuring and scheduling Artist for monthly art exhibit and meet the Artist programs at the Senior Center.


Collaborates with team members to support department functions as needed.


Performs other related job duties throughout the Human Services Department with a focus on Senior Services, as required.

Minimum Qualifications:
The following requirements may be substituted by an equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities required to perform the job:

High school degree or GED


At least 3-5 years of related work experience


Knowledge of the issues surrounding the elderly and dementia; knowledge of activity/program planning


Knowledge of relevant Massachusetts General Laws related to essential functions


Knowledge of computer and software skills and ability to learn and work with new software


Position also helps with room set-up and requires ability to move up to 20lbs. 

Status and Compensation:
This is a full-time, benefitted, union position with work hours ranging between 35 to 40/week. Work schedule will be within regular business hours typically 8am to 4:30pm weekdays or as otherwise agreed upon, with an anticipated hiring range of $20.87 - $23.04 per hour DOQ (Grade 3).
