Position:  Events and Activities Coordinator (full-time, union)

We are seeking a candidate who is highly organized and unruffled by the dynamic nature of events management. The chosen personnel will be flexible and able to pivot quickly. This is a highly likeable person, even keeled with a focus on professionalism.

Job Summary:
The Council on Aging of Billerica is a regional leader in the design and delivery of a range of programs to meet the needs of some 2,000 active members seeking to remain in the community for as long as possible, aging positively. We offer a rich mix of activities and events to help our patrons stay healthy, connected with each other and reduce feelings of loss and aloneness through active engagement and participation.

Reports to: Director of Billerica COA

Responsibilities: The position calls for a high level of planning for the smooth delivery of several categories of events. Some one hundred volunteers support our impact at the COA. This position requisitions trained volunteers with specified skills to assist with each category listed below.

1) Music Entertainment
Screen and select from a range of performers, music, bands and genres to meet the varied enjoyment needs of our patrons.

2) Meal Programs
Offer meals, often in combination with entertainment for 35-60 persons at the COA. Build partnerships to help reduce costs to patrons with local businesses, non-profits, and aging services organizations. Parents’ Day, Programs with the Sunshine Gals, Martin Luther, Chinese New Year are just a few examples.

3) Groups at play
Manage some 50-60 Bingo players weekly with volunteer team
Pool players/including ladies pool – 3 pool tables.

Programming with the Police Dept

Summer entertainment series on lawns

Pen Pal Program with school system


Qualifications: Skills: Competencies

Experience: Tenure of 4-6 years in extensive events planning and execution. These steps are second nature - establishing an event committee, finding an event venue, choosing event vendors.


Marketing and publicizing events, managing all costs of events, working with sponsors and more.

Communications: Strong written and oral

Computer: Ease with Excel spreadsheets to stay within budget. Quick grasp of COA’s online registration, tracking and analytical program.

Attention to detail: follow schedules, deadlines, and timetables to ensure events run smoothly and on time.

Creativity: this is a critical skill to keep delivering events that are novel and attractive

Ease of partnering: the position requires a high level of collaboration with internal departments, other departments of the town, local businesses and our two Boards.

Working with volunteers: ability to motivate, manage and mobilize volunteers assigned by the Volunteer Services Coordinator, following submitted requirements.

Salary and Benefits:

• Full-time, 37.5 hours per week.
• Annual Salary range: $46,911.83 - $59,358.75
